W Sydney is now casting for an Executive Assistant. This role is to provide administrative and organizational support to the General Manager and Hotel Manager, allowing them to focus on their core responsibilities and manage their time more efficiently. This role plays a pivotal role in the seamless operation and strategic rhythm of our hotel.

 

ABOUT THE ROLE

As Executive Assistant, you will act as a trusted ambassador and strategic enabler for the General Manager and Hotel Manager. You will manage complex schedules, facilitate communication at the highest level, and ensure priorities flow smoothly across the business.

The core responsibilities include but are not limited to:

Executive & Business Support

  • Provide high‑level, confidential executive support to the General Manager and Hotel Manager
  • Manage complex and ever‑changing calendars, meetings and itineraries
  • Serve as a key liaison between Executive Leadership, internal departments, ownership, brand partners and external stakeholders

Communication & Coordination

  • Screen, manage and prioritise all correspondence on behalf of the executives
  • Prepare agendas, presentations, reports and meeting packs to a luxury‑brand standard
  • Take accurate meeting minutes and ensure timely follow‑up of actions

Operational & Strategic Support

  • Assist with strategic projects, hotel initiatives and executive‑level reporting
  • Track key deadlines, deliverables and commitments across departments
  • Support preparation for brand audits, owners meetings and VIP engagements

Administration & Governance

  • Maintain confidential files, records and documentation with the highest discretion
  • Support expense management, invoicing and budget tracking as required
  • Ensure compliance with Marriott International brand standards and hotel procedures

Luxury Brand Representation

  • Act as a professional, polished point of contact reflecting the W brand ethos
  • Handle VIP, owner and senior stakeholder interactions with tact and confidence
