People & Culture Assistant

P&C Operations & Administration

  • Coordinate the day-to-day administration of the People & Culture department in accordance with company policies and procedures.
  • Maintain accurate and confidential employee records in both electronic and physical formats.
  • Update employee information in Workday, Fusion, and other HR systems, ensuring all records remain accurate and current.
  • Prepare employment-related letters, certificates, confirmation letters and other HR correspondence.
  • Maintain employee filing systems and ensure all documentation is properly archived.
  • Provide administrative support to the People & Culture leadership team.
  • Handle employee enquiries professionally and maintain excellent internal customer service.
  • Maintain People & Culture office supplies, departmental requisitions, and administrative records

 

Employee Accommodation & Transportation

  • Coordinate team member accommodation allocation, room movements, inspections, and records.
  • Coordinate employee transportation, airport transfers, ferry arrangements, and travel logistics.
  • Liaise with Housing and Transportation departments to ensure timely support for team members.
  • Maintain accommodation occupancy records and reports.

 

Employee Services & Welfare

  • Support employee engagement activities, celebrations, welfare programmes, and recognition initiatives.
  • Coordinate employee birthdays, service anniversaries, and special events.
  • Assist with employee orientation and onboarding activities.
  • Support the Welfare Committee and coordinate employee welfare initiatives.
  • Promote a positive employee experience and assist in resolving routine employee concerns.

 

Employee Communication

  • Ensure timely communication of People & Culture announcements, policies, employee activities, and important notices.
  • Maintain P&C notice boards and employee communication channels.
  • Build positive working relationships with employees and provide first-level People & Culture support.
  • Welcome visitors and new employees to the People & Culture office in a professional manner.

 

Other Responsibilities

  • Maintain strict confidentiality of employee information and company records.
  • Support departmental projects and cross-functional initiatives.
  • Perform any other duties assigned by the Assistant Manager of P&C, People & Culture Manager, Assistant Director, or Director of People & Culture.
