About the location:

Occupying the top floors of a landmark 39-floor tower, Four Seasons Hotel Tokyo at Otemachi seamlessly blends modern high-style design with classical Japanese elements. From tasteful event venues to dynamic dining and drinking spaces, the Hotel offers a unique experience that is distinctively Four Seasons. The Hotel boasts a prime location above Otemachi Station in Tokyo’s prominent financial district, right next to the Imperial Palace. The SPA is a tranquil sky-high sanctuary, complete with water features: vitality pools, mist chairs, and traditional Japanese ofuro baths. Dining options range from est, a Michelin-starred contemporary French restaurant, to PIGNETO, which serves authentic Italian cuisine with an al fresco terrace. VIRTÙ, listed on Asia’s 50 Best Bars, is an immersive concept bar that harmoniously blends the drinking cultures of two iconic capitals, Paris and Tokyo. ****Rooms Administrative Assistant and Room Controller****

 

About the role

Provide support and clerical expertise to Rooms division and respond to guest and employee inquiries in an efficient, courteous and professional manner to achieve maximum satisfaction while complying with all Four Seasons’ policies. The ability to perform multiple task pertaining to Rooms division.

What you will do

  • Perform room inventory controlling and assignment.
  • Perform check-in / out during crunch time.
  • Handles general enquiries in an effectively and in efficient manner with guest, vendors and internal departments.
  • Attend to all incoming telephone calls
  • To participate in scheduled meetings as requested.
  • Maintain confidentiality in dealings with P&C, Owners, etc. and process confidential information without compromising the nature of the material or information.
  • The ability to be responsible for taking all meeting minutes copying, distribution and mailing
  • Handle complaints / glitch in the absence of the Hotel Manager and ADOR and inform him/her as to action taken and follow up required.
  • Management of guest satisfaction database and correspondence.
  • To keep the Hotel Manager and ADOR promptly and fully informed of all problems or unusual matters of significance coming to his/her attention so prompt corrective action can be taken.
  • Handle travel arrangements and reservations for VIP guest and Rooms managements.
  • Working in co-operation with all Planning Committee Members and Rooms managements to coordinate work flow and communication.
  • Coordinating employee related meetings/forums and internal department follow up.
  • Perform any additional duties as assigned by the Hotel Manager.

 

 

What you bring

  • Requires ability to operate computer equipment.
  • Ability to compose business correspondence.
  • Good knowledge of the Four Seasons policies and procedures.
  • Seamless live translations
  • Assist in terms of Quality / Guest Feedback (Medallia / Ikyu / Google etc) information gathering and compiling.
  • Require a flexible schedule in order to accomplish all major responsibilities and tasks.
  • Require a working technical knowledge of generally accepted accounting principles and Four Seasons Internal Controls, Policies and Procedures as they relate to Cashiering. Working knowledge is generally learned on the job.
  • Ability to operate fax, scanner, copier, telephone, adding machine, calculator.
  • Ability to read, write and speak English & Japanese. Additional foreign languages are an advantage.
