Event Coordinator

Job Description

 

Rattaché (e) à la directrice des Ventes, l’Event Coordinator est responsable de la coordination logistique et administrative des événements organisés au sein de l’établissement, en assurant une excellente exécution opérationnelle et une satisfaction client optimale. Il/elle joue un rôle clé entre les équipes commerciales, opérationnelles et les clients.

Responsabilités principales :

  • Assurer la planification et la coordination logistique des événements (séminaires, mariages, dîners privés, conférences, etc.).
  • Être l’interlocuteur/trice principal(e) du client après confirmation de l’événement jusqu’à sa réalisation.
  • Travailler en étroite collaboration avec les départements F&B, Cuisine, Housekeeping, Front Office, Technique et Sécurité pour assurer la bonne mise en place des événements.
  • Préparer les Banquet Event Orders (BEO) et assurer leur diffusion auprès des départements concernés.
  • Participer aux réunions opérationnelles quotidiennes et hebdomadaires (BEO meetings).
  • Effectuer un suivi post-événement : feedback client, facturation, rapport de performance.
  • Maintenir une documentation précise sur les événements et assurer l’archivage des dossiers clients.
  • Veiller au respect des standards de qualité, de sécurité et d’hygiène de l’hôtel.
  • Participer à l’amélioration continue de l’offre événementielle et proposer des idées créatives.

 

Qualifications

 

Compétences requises :

  • Excellentes compétences en organisation, communication et gestion du temps.
  • Sens du détail et capacité à gérer plusieurs projets simultanément.
  • Très bon relationnel client et orientation service.
  • Connaissance des logiciels de gestion événementielle (Opera Sales & Catering) est un atout.
  • Capacité à travailler sous pression, y compris les week-ends et les horaires étendus si besoin.
