MISSION: Maximize profit in all areas of the hotel through the planning and coordination of social events, and the contracting and planning of events at the hotel, assisting the meeting planner or the client directly, ensuring at all times that the standards of quality and service exceed the expectations of the clients. 

 

Primary Responsibility:

-From the signing of the contract, you will be the only person responsible for the group, acting as a liaison between the group and the hotel.

-Prepare quotes for all requests for social events and meetings with fewer than 10 rooms that arrive at the hotel, regardless of their origin, always with the aim of obtaining the greatest possible business in both catering and meeting rooms and other hotel services.

-Once these services are confirmed, the corresponding service contract will be drawn up.

-Ensure the coordination of all operational details of the group and events by effectively informing all departments involved of the characteristics and services required to carry them out successfully.

 

-Prepare group summaries as well as Food and Beverage service orders, distributing them at least 7 days before the group’s arrival or the date of the event.

-Receive the group file from the Group Sales Coordinator, reviewing the contract, the program, and any blocked rooms. A joint call will be made to the client to introduce yourself as the new contact person for the planning and duration of the group stay, confirming the contracted services. Send a follow-up email with your personal information.

-Ensure customer needs are met in order to begin up-selling food & beverages and services, maximizing sales and profit.

-Carry out the tracking of deposits and payments according to the dates stipulated in the contract, updating the pro-forma invoice and sending it to the client when necessary.

-Resolve any issues that may arise with the group or event. Follow up appropriately with the client afterward.

-Complete the closing of files with all the information received. Inform all hotel departments of customer feedback regarding the event or group.

-During the group’s stay, they are present at the hotel, maintaining continuous contact with the client, supporting the operation, and ensuring that everything runs as planned.

-Review the group/event billing, ensuring it has been done correctly

-Participate in daily service order meetings (Food and Beverages) and group summary meetings along with all departments involved in the operation.

-Plan and execute the pre-convention (pre-con) meeting to ensure that a direct relationship is established between the department heads and the meeting planner.

-Follow up with the client after the event by conducting an interview to assess their satisfaction with the program and future business opportunities.

-Within a maximum of three days after the group’s departure from the hotel, send the meeting planner and/or end client an email thanking them for choosing the hotel and inviting them to welcome them in the near future.

-Welcome the client (meeting planner) by establishing a personal relationship with the hotel.

 

What are we looking for?

  • Training in Tourism, Hospitality, Marketing or similar
  • Strong customer focus

  • Proficiency in Microsoft Office.
  • Knowledge of hotel operations.

  • 1 year in a similar position in the hospitality industry.
