Job Description
Reporting to the Director of Catering and Assistant Director of Catering, responsibilities and essential job functions include but are not limited to the following:
- Consistently offer professional, friendly and engaging service;
- Actively engage in sales of meeting space and book various types of events, including but not limited to: Meetings, Dinners, Receptions, Weddings, Social and Protocol events, etc;
- Achieve monthly – yearly goals as set out by the Director of Catering;
- Conduct site inspections, achieve entertainment goals, activity goals and revenue goals;
- Confirm all event related information with clients during finalizations;
- Establish and maintain excellent rapport with clients, prior to, during and post event, encouraging repeat business (relationship building);
- Book and organize all bookings from date of booking to departure, including meeting requirements, guest room requirements, guest room pickup, food & beverage and audio visual;
- Finalize events which are assigned to you as needed by the Director of Catering
- Handle all deposits and prepayments for events and ensure they are fully prepaid
- Create floor plans for each event to ensure banquets and clients are in agreement prior to set up;
- Initiate billing procedures, ensuring any deposits and/or credit applications are received with adequate information and within an acceptable time frame and following full hotel credit procedures;
- Ensure all BEO’s are signed by the authorized representative and placed in files
- Conduct pre-conference meetings with clients and pertinent departments to confirm all relevant details are communicated when required and create event resumes when required;
- Attend daily BEO meeting to review event contracts and ensure last minute changes are communicated with appropriate departments;
- Follow departmental policies and procedures;
- Follow all safety policies;
- Excellent time management and organizational skills, prioritizing and being able to assess when additional hours are required;
- Other duties as assigned;
