Events Coordinator

A Groups, Meetings & Events Coordinator – Wedding Specialist is responsible for receiving groups and events in the hotel, serving as an intermediary between the customer and the commercial and operational areas. It is the customer contact at the time this arrives at the hotel with your event, working with the hotel to achieve the set goals.

What will I be doing?

As a Groups, Meetings & Events Coordinator – Wedding Specialist, you will work following the events that occur in the Hotel from initial contact with the head of the event to prepare contracts for groups and events, until the end of the event and therefore must perform the following tasks with the higher standards:

Key Responsibilities

  • Respond to, and search for where appropriate, business leads from agents, wholesalers / wedding organizer / bridal houses / wedding community
  • Search and compile data for relevant wedding suppliers
  • Handle site inspections of visiting wedding organizer, existing accounts and potential accounts
  • Respond to inquiries for weddings and events with comprehensive offers promptly within 24 hours
  • Ensure wedding and event leads are materialized and prepare agreements
  • Follow through with event and wedding checklists including rooming lists, deposit payments, room reduction policy and creation of runs sheets once contract is signed
  • Maximize revenue in all aspect of hotel products including room, wedding venues / packages and F&B revenue
  • Follow up all leads and keep Sales Proactive updated on the leads progress
  • Meet and greet organizer or wedding couple on arrival and departure
  • Provide on-site support during events and address client needs promptly ensuring guests expectations are meet

  • Degree in Hospitality, Management, or Marketing would be an advantage
  • Experience in group and event sales, ideally within hospitality
  • Strong organizational and multitasking skills
  • Excellent problem-solving and communication abilities
  • Proficiency in MS Office (Excel, PowerPoint, Word)
  • Proactive and deadline-driven approach
  • Flexibility to work weekends and evenings to support weddings and special events
