A Groups and Convention Manager is responsible for overseeing all aspects of group and convention operations within the hotel, serving as the main liaison between the client and the commercial and operational departments. This role ensures that every event is executed flawlessly, meeting both client expectations and hotel objectives.
As a Groups and Convention Manager, you will manage the full event cycle — from the initial inquiry and contract negotiation to the successful execution and post-event follow-up. You will work closely with internal departments to ensure a seamless experience for every group and event. Specifically, you will be responsible for the following duties performed to the highest standards:
Oversee all group and convention bookings, ensuring a smooth coordination from contract to completion.
Prepare, review, and manage contracts for groups, meetings, and conventions.
Enter and update group details in the system, including rooming lists, billing instructions, and other essential information.
Negotiate rates, terms, and event budgets with clients while maximizing hotel revenue.
Create and manage detailed Event Orders (BEOs) and ensure accurate communication of all event details to relevant departments.
Lead pre-convention meetings and coordinate all logistical aspects, including accommodation, meeting spaces, F&B requirements, and special requests.
Produce monthly reports and maintain accurate group and event records.
Collaborate proactively with Sales, Reservations, Front Office, Food & Beverage, and Culinary teams to ensure flawless event execution.
Serve as the primary contact for clients throughout their event, ensuring their needs are met promptly and professionally.
Represent the hotel at key events such as site inspections, welcome receptions, and client appreciation activities.
Ensure that all client requests and needs are handled with efficiency, precision, and a focus on luxury service.
