Sales & Events Coordinator

The Sales & Events Coordinator will play a key role in supporting the sales and events team by assisting with client communications, preparing proposals, tracking leads, and ensuring a smooth handoff to our event planning team. This role is ideal for someone who is highly organized, proactive, and enjoys working in a fast-paced, client-focused environment.

What will I be doing?

Specifically, you will be responsible for performing the following tasks to the highest standards:

  • Assist in responding to inquiries, preparing proposals, and following up with potential clients
  • Support the sales team in generating contracts, Banquet Event Orders (BEOs), and invoices
  • Maintain an organized system for tracking contracts, deposits, and event details
  • Conduct site visits and walkthroughs with prospective clients to showcase hotel event spaces
  • Communicate event details and changes to internal departments to ensure flawless execution

Administrative & Operational Support:

  • Attend BEO and pre-event meetings, ensuring all departments receive updated event details
  • Maintain accurate event records in the hotel’s sales system (e.g., Delphi/FDC)
  • Ensure appropriate supplies, ordering, and receiving for department or area
  • Assist in managing reservations and group accommodations for event guests

Client & Guest Relations:

  • Act as a point of contact for clients, providing timely responses and professional support
  • Ensure exceptional service by addressing client needs before, during, and after events
  • Work closely with the banquet, catering, reservations and front office teams to ensure a seamless guest experience

Supportive Functions:

  • Perform other duties and responsibilities as assigned and/or requested
  • Assists in the delivery and support of projects as required by senior management
  • Assists in the delivery of sales systems support as required
  • Assist Wedding and Events Specialist with coordinating (wedding) events
  • Assist with groups in-house
